The Guardianship Program of Dade County, Inc. is a non-profit agency which acts as the Public Guardian for indigent adults who are adjudicated incapacitated and reside in Miami-Dade County, Florida.
Our vision has always been to assist those adults of very limited means and with little, if any, family support. Initially, we served only adults 60 years of age or older. In 1990, the Program also started serving all adults as of the age of 18.
The Program is quite unique not just in Florida but around the country. For starters, the Guardianship Program is the state’s oldest and largest of public guardianships as we handle roughly 50% of all the state’s cases. This represents approximately 1,400 persons during the course of the year. As Public Guardian for the Eleventh Judicial Circuit in Florida, GPDC handles more cases than all of the other 19 Circuits combined.
We serve those that are among the most vulnerable. They are the frail elderly, the developmentally disabled, others maybe that are HIV-infected, and an increasing number of younger, mentally ill adults that require court intervention and assistance.
We are actively seeing to fill an Administrative Accountant position.
Primary Accountabilities
The Accountant is responsible for assisting with the overall management of all financial accounting/operations, policies, and procedures of the agency. He/she will also assist with managing external accounts and relationships and be responsible for providing excellent customer service to both external and internal clients. This position performs numerous general and confidential accounting and administrative tasks.
Verifies, allocates, adjusts and posts details of Agency financial transactions to subsidiary accounts in accounting system (QuickBooks), or other financial records from documents such as invoices, receipts, check stubs, and reports. Performs all Accounts Payable, Accounts Receivable, Payroll, Fixed Asset reporting and analysis as required.
Prepares a variety of account analysis and reporting for all financial transactions by updating the Monthly Financial Analysis Binder.
Summarizes details in separate ledgers or computer files and transfers data to general ledger in accounting system (QuickBooks).
Reconciles, balances and verifies all QuickBooks financial accounts (also including Agency cell phones and personal use by employees, employee health and supplemental insurance benefits, HRA, mileage, toll, expense reimbursements, etc.) for accuracy and payments.
Compiles reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, profit and loss, and other items pertinent to the financial operation of the Agency.
Ensures all funds received by the Agency are deposited into bank account(s) on a weekly basis and properly entered into accounting system and applicable spreadsheets.
May assist with processing biweekly and semi-monthly payrolls by entering time and attendance information into payroll system, and entering payroll tax information into accounting system and spreadsheets for reconciliation and reporting.
Updates salary data as needed, maintaining the highest degree of confidentiality related to employee information and documents.
Maintains, tracks, distributes and reimburses petty cash & emergency check requests for employees and Agency wards as requested.
Assists with monitoring, entering, and transferring deductions for employees related to payroll benefits deductions and individual retirement account contributions. Enters information into accounting system and updates spreadsheets as needed.
Assists with providing schedules, spreadsheets and appropriate work documents for all annual budgets prepared, requested and required for presentation to the Board of Directors and various funding partners (i.e. Miami-Dade, Statewide Public Guardianship Office (SPGO), the Florida Bar (IOTA), and Community Based Organizations (CBO), etc.).
Prepares various analytical reports including; Discharge & Caseload Analysis Reports for the Board package, by retrieving different queries and reports from GMS.
Assists with maintaining, updating, and producing all required reports, spreadsheets, and documentation for all financial and/or administrative audits that are required on a monthly and annual basis.
May assist with providing technical support to all employees on software (payroll or time and attendance) applications and less complicated technical issues. Coordinates calls to outside technical support team as needed.
Additional administrative responsibilities or special projects are assigned by the Senior Accountant or Director of Finance as needed.
EDUCATION and/or EXPERIENCE
Bachelor's degree in Accounting from a four-year college or university preferred; and a minimum of three (3) years related experience and/or training; or equivalent combination of education and experience. Previous experience using accounting software (i.e. QuickBooks) preferred and advanced Microsoft Excel skills required.
