Your Primary Responsibilities Include:
Under the direction and supervision of the VP/Senior Mortgage Lending Officer, the Administrative Assistant supports the daily operations and administration of the team through a wide array of duties and responsibilities.
Job Responsibilities:
• Answer all incoming calls
• Schedule, track, and confirm appointments with clients for VP/Senior Mortgage Lending Officer
• Support team to track incoming leads
• Enter new clients into the CRM system (HubSpot, Jungo)
• Scan and save consultation sheets, including data entry of client information
• Prepare closing packages and gifts for weekly closings
• Conduct follow up phone calls and send surveys to recently closed clients
• Enter data into platform to send cards to clients and referral sources
• Research clients on social media platforms including Facebook, X (Twitter), Instagram, LinkedIn, etc.
• Collaborate with marketing department to coordinate VP/Senior Mortgage Lending Officer’s media, advertising, and sales literature, including production of marketing materials
• Create email campaigns and social media posts highlighting team’s recent closings
• General administrative duties as assigned
Education and Experience Requirements:
• Associate degree or equivalent years of experience
• One (1) year of relevant experience in the Customer Service field
• Full professional fluency in English and Spanish
Additional Requirements:
• Strong customer service skills and positive attitude
• Experience using social media for business preferred
• Excellent verbal and written communication skills
• Demonstrated knowledge of Microsoft Office Suite and Adobe
• Superior organizational skills and ability to respond to changes quickly with attention to detail
