Job Role/Job Description

We are looking for a highly-motivated individual with strong leadership skills to manage the administration of Sannam S4’s India business. This is an important role leading Sannam S4’s growing Administration Team across India, managing certain key aspects of the running of our business and our New Delhi headquarters. This role will provide exposure to a wide variety of areas in a fast-growing business serving both external clients as well as internal users.

This role reports directly into the Head of Facilities & Administration.

Duties and responsibilities:

1. Leadership of growing Administration Department

o Six offices

o Approximately a dozen staff, including IT Department which falls under the Administration Department

o Preparation of departmental budgets and strategic thinking for growth

o Leading monthly departmental calls and identifying new leaders within the department and business

o Further develop cross-departmental communication in order to build efficiencies into the business

2. Ownership for the real estate portfolio

o Management of leases

o Upkeep of the office facility and assets

o Working with HR and Finance, ensure compliance requirements are met

o Ensure infrastructure and equipment within the buildings are adequately maintained

o Ensure fire safety procedures exist and are tested periodically

o Ensure reception service delivered in all sites reflects our “Enter Explore Expand” objective

o Management of physical access controls for our respective offices

3. Management of vendors

o Selection of vendors in line with the company procurement policy

o Management of vendors to ensure that they maintain an ongoing high level of service and that pricing is competitive and management of vendor invoicing

o Vendors areas to include: IT, travel, stationery, office consumables etc.

4.Consumables charging

o Given Sannam S4’s LaunchPad model, ensure that an efficient process exists to capture the chargeable requirements of consumables that is charged to clients (photocopying, calls etc).

5.Client support

o Producing and seeking approval for invitation letters for foreign clients visiting India

o As required, support client projects e.g. event management, conducting basic research work

6.New staff support

o Participation in onboarding process to ensure that the new starters are set-up in accordance with new starter process (office equipment, email account configured, stationery ordered etc.)

Qualifications

Graduate or MBA

Experience
• Should have a minimum of 7 – 10 years’ experience in administration / office management roles.
• The candidate should be proficient in Microsoft Word, Excel, Outlook and PowerPoint.
