Bookings and Events Co-ordinator Role:
Location: Hybrid – Hove office & home - must be able to come in once a week and be more available in person during the 3-month probation/on-boarding phase
Salary: £26,000 – £30,000 pro rata depending on your experience
Hours: 37.5 hours per week
Reports to: Events Manager
Start Date: 11th August 2026, preferably, but can be the 18th August.

The Role:
We’re looking for a highly organised, process-loving, methodical team member who also brings a warm, people-first approach to customer service. As Bookings & Events Coordinator, you'll play a central role in the guest journey – from first enquiry to post-retreat follow-up. You’ll manage bookings, solve problems, and handle queries (and occasional complaints) with calm confidence, care, and clarity.
This is a fast-paced, admin-heavy role that requires someone who enjoys structure, thrives on efficiency, and is at their best when following and refining systems. Our Events Manager will support you and assist with retreat preparation, occasionally attending retreats to learn about AY and manage their setup.
What you will be doing:
Bookings & Customer Experience
• Be the warm, friendly first point of contact for enquiries by email and phone
• Manage bookings from start to finish using our CRM and booking systems
• Learn our booking system from top to bottom and become the in-house expert
• Handle refunds, credit notes, gift cards, changes and discounts with care and accuracy
• Follow clear processes and keep meticulous admin records
• Deal with complaints professionally and empathetically – always aiming for resolution and retention
• Respond to phone and email enquiries with a calm, kind and informative tone
Sales & Communication
• Guide guests through retreat options and help them book with confidence
• Follow up on leads and manage listing site bookings
• Learn all our retreat offerings in detail so you can sell them clearly and enthusiastically
Event Support
• Assist the Events Manager with retreat logistics and venue liaison, eventually managing a few destinations yourself from beginning to end
• Set up guest WhatsApp groups and share key retreat info
• Occasionally attend retreats to support operations and guest experience
• Help maintain and improve internal retreat manuals and processes

Must Haves: Love of yoga, wellness, travel
Qualifications
• Event Planning and Event Management skills
• Strong Communication and Customer Service skills
• Proficiency in Sales techniques
• Excellent organizational and multitasking abilities
• Ability to work independently and in a team environment
• Experience in the wellness or travel industry is a plus
• Bachelor's degree in Event Management, Hospitality, Business, tourism or related field a nice to have
