Position: Contract Administrator
We are currently seeking a detail-oriented and highly organised Contract Administrator to join our team. This role is critical in supporting our sales operations, ensuring all contracts, documentation, and compliance requirements are handled efficiently and accurately.
Key ResponsibilitiesContract Preparation & Management
Prepare Contracts of Sale, Section 32 (Vendor Statements), and leasing agreements
Review all documentation for accuracy and compliance with Victorian property legislation
Coordinate contract execution between vendors, purchasers, solicitors, and agents
Transaction & Settlement Coordination
Manage the sales process from listing through to settlement
Monitor key milestones including cooling-off periods, finance approvals, and settlement dates
Liaise with conveyancers, solicitors, and financial institutions to ensure smooth transactions
Compliance & Documentation
Ensure all documentation complies with Victorian real estate regulations
Maintain accurate and up-to-date records within CRM systems (e.g. PropertyMe, Agentbox, Rex)
Prepare and manage trust account documentation in line with audit requirements
Stakeholder Communication
Act as a key point of contact between agents, clients, and legal representatives
Provide timely updates to clients on contract status and transaction progress
Support agents with administrative tasks related to listings and sales
Financial & Administrative Support
Assist with invoicing, commission tracking, and settlement statements
Maintain transaction reporting for management
Provide general administrative support to the office as required
About You
Previous experience in a Contract Administrator or similar role
Exceptional attention to detail and strong organisational skills
Excellent communication and interpersonal abilities
Sound knowledge of Australian property law and contracts (preferred)
Proficiency in Microsoft Office and real estate CRM systems
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
