Overview
The Seven Nations Soaring Eagles Wellness Centre offers a culturally rooted, strength-based and trauma-informed approach to healing and wellness. The 8-week program is a transformation ceremony. Healing is holistic and is being approached by revitalizing culture, reclaiming identity and wisdom, reconciling families, communities, and nations, and re-establishing wholeness to address “addictions”. The center has undergone thoughtful and laborious work to develop strong roots with a strong vision, supporting philosophical foundations, aligning principles, practices, and outcomes, and a program curriculum that will support participants to journey through a ceremonial-based healing program with beautifully developed and complementary infrastructure. The center is a new program and facility that is now transitioning into the next phase, toward becoming fully operational and is seeking an executive assistant to support that transition and ongoing administration within the program.
The Ktunaxa Nation seeks a highly skilled and experienced Executive Assistant who will provide comprehensive administrative support to the ED and Program Managers. The EA reports to the Executive Director and will be required to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Responsibilities
Effectively plan their work to meet deadlines. Plan daily, weekly, and monthly activities.
Manage communication for the Executive Director, monitoring and drafting replies when appropriate.
Administer financial processes and other tasks associated with center operations and set up
Attend senior-level meetings, participate in providing information, insights and knowledge
Coordinate meetings and events, including travel arrangements as needed. Prepare agendas and briefing packages, ensuring minutes are taken and distributed in a timely fashion
Manage the ED’s schedule
Ensure all records are accurate. Track, monitor and administer resolutions, motions, and actions
Establish administrative policies, standards and guidelines in collaboration with the ED
Assist in the preparation of annual budgets and administer financial processes
Provide high-level assistance to the ED, ensuring their time is optimized so priorities are met
Prepare correspondence, reports and presentations, including researching and analyzing reports as required
Qualifications
Bachelor's degree in Management or Business Administration, or related degree.
Minimum of 5 years management experience
Knowledge and experience working in a First Nations Setting
Experience working with a variety of boards and committees, and knowledge of related governance practices
Ability to supervise and direct the activities of a professional staff efficiently and effectively
Ability to deal effectively with crisis situations, such as, but not limited to, client depressive reactions and potential suicide
Ability to function effectively within a dynamic political environment
Flexibility to assume different roles under different circumstances; ability to wear several hats
Knowledge of treatment support resources available within the Kootenays and wider Interior region
Knowledge and skill in case management
Knowledge of individual and group counselling techniques
Willingness to respect and accept others and the ability to delegate effectively
Ability to manage stress effectively
Emotional resilience to withstand abuse from clients and community members
Qualities such as honesty, patience and a sense of humour
