HE06 Step 1 $70.63 per hour excluding Superannuation
About the opportunity
PRIMARY FUNCTION
The Executive Assistant provides professional executive support tailored to the needs of the designated Executive leader. They ensure streamlined operational and administrative functions while understanding the executive’s key priorities and the overarching work area goals.
DECISION MAKING AND DELEGATIONS OF AUTHORITY
The Executive Assistant works under broad supervision, performing tasks as directed and in accordance with defined responsibilities. They choose appropriate methods of work and plan and prioritise tasks. They also resolve routine matters related to responsibilities and collaborate with others to resolve complex matters.
The Executive Assistant will work under general supervision with direction provided on key accountabilities. They will have discretion to choose between established methods and sequences provided set priorities and deadlines are met. They will be expected to exercise a degree of knowledge and judgement in resolving problems associated with day-to-day matters and operating procedures directly linked to their key accountabilities. The job-holder will carry out the key accountabilities of their role and will utilise initiative and awareness in identifying and raising problematic and complex issues to the Executive Officer. They may provide sound advice regarding known policies and procedures and more complex advice that has been reviewed and approved by the Executive Officer
Responsibilities
provide high level professional executive support and manage the general day to day operational and administrative activity of the work area.
respond to enquiries in person, by phone and email to internal and external parties to the University.
identify and prioritise strategic and operational significance of incoming enquiries and correspondence, determine level of response required, and obtain additional information as necessary.
facilitate the flow of information on behalf of the executive, including gathering background information and dissemination of information.
manage the drafting, reviewing, and formatting of correspondence and reports ensuring all documentation is available when needed.
manage expenditure and payment processing ensuring correct allocation and reconciliation of paperwork.
develop and maintain excellent working relationships with key stakeholders and staff across the University, as well as with a broad range of external stakeholders.
Undertake other duties and projects appropriate within the classification level as required.
About you

prior experience with Concur, Campus Assist, UniBuy and PowerBI
excellent skills in operating relevant computer applications, including word processing, spread sheets, presentations, communications and database applications.
excellent written and oral communication skills and an ability to deal with staff at all levels with tact and discretion
proven ability to build and maintain effective working relationships with internal and external clients to ensure that client needs are met
good organisational skills including accuracy, numeracy, attention to detail and the ability to prioritise workload effectively when required
the ability to actively contribute to the development of team goals and assist team members when required
an ability to effectively manage resources and facilities
strong problem-solving skills and the ability to use initiative and exercise sound judgement
