Role Overview
The Executive Assistant (EA) serves as a trusted strategic partner to a C-level executive, providing high-level administrative, operational, and coordination support in a fast-paced insurance environment. This role goes beyond traditional administrative duties—acting as a gatekeeper, prioritization engine, and force multiplier to enable the executive to focus on strategic leadership, growth, and stakeholder engagement.
The ideal candidate is proactive, detail-oriented, highly organized, and comfortable operating with discretion while navigating complex calendars, confidential information, and competing priorities. You are a juggling master!
Key Responsibilities
Executive & Strategic Support
Act as the primary point of contact between the executive and internal/external stakeholders, including board members, broker partners, carriers, regulators, and senior leaders.
Manage complex, ever-changing calendars across multiple time zones, ensuring strategic prioritization of meetings and commitments.
Anticipate executive needs and proactively prepare materials, briefings, and talking points for meetings, presentations, and travel.
Support executive decision-making by organizing information, summarizing key issues, and tracking follow-ups and action items.
Business & Operational Management
Coordinate preparation of executive-level presentations, reports, and correspondence (board decks, leadership updates, strategic initiatives, document signing).
Track key deliverables, deadlines, and commitments across initiatives to ensure alignment with business priorities.
Assist with planning and execution of leadership meetings, offsites, board meetings, and industry events.
Stakeholder & Relationship Management
Build trusted relationships with senior leaders, executive assistants, and key partners across the organization and industry.
Exercise sound judgment in managing sensitive communications and confidential information.
Represent the executive and office with professionalism, tact, and credibility at all times.
Process Improvement & Special Projects
Identify opportunities to streamline workflows, improve communication, and enhance executive productivity.
Support special projects, strategic initiatives, and cross-functional efforts as assigned.
Maintain organized digital and physical filing systems in compliance with company policies and regulatory standards.
Qualifications & Experience
5+ years of experience supporting C-suite or senior executives, preferably in insurance, financial services, or a highly regulated industry.
Strong understanding of executive-level business operations, governance, and stakeholder management.
Exceptional organizational, time-management, and prioritization skills.
High emotional intelligence and ability to navigate complex personalities and confidential situations.
Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word); familiarity with collaboration and CRM tools is an asset.
Excellent written and verbal communication skills.
