Job Description
• Providing monthly Payroll Inputs like Leave Without Pay, Incentives Pay, ESPP deductions, New Join Information, Resigned Employee Info, Tax deductions from RSU / ESPP, New Employee Social Security details etc.
• Working with the Payroll vendor to finalize the salary and other Tax, Social security Challans like Provident Fund, Professional Tax, Labour Welfare Fund etc and coordinate get the same paid every month to the employees and Govt as required.
• Generating Form 16 thru ADP, Support on Tax Declaration & Actual Submissions.
• Follow up with Finance team every quarter for incentive pays for payroll input.
• Handling quires related to Salary if any.
HR Operations :
• Preparing appointment letter and getting the same signed from the new joiners and preparing each employee’s personal file for records and future documentation.
• Onboarding - Joining Kits for New employees, HR documentation as required & Compliance form filling etc.
• Post joining formalities IT Assets handover, ID Cards etc. (Contract & Edwards)
• Preparation of Increment, Promotion Letters etc.
• Coordinating with Finance / IT for clearance of employee, Post exit clearance, Sharing the FNF inputs with Payroll vendor for FNF calculation and generating the Full and Final Settlement of exiting employees including coordination with Finance for Payout to left employee.
• Maintaining In Country Training tracker for Trainings done outside of LMS & EW University.
• Employee Data Base Management.
• Provide support to employees and managers on the HR systems and maintain accurate data related to employees up to date in all HR systems, Workday etc.
• Provide employee services including benefits, employee verification, and reference letters.
Compliance & Vendor Management :
• Coordinating & sharing the data with Provident Fund Vendor for UAN creation & KYC updating.
• Provident Fund Transfer & Withdrawal claim, Name correction request & other PF related activities.
• Statutory Filing of Monthly / Quarterly / Half Yearly / Annual Returns - Provide monthly inputs to Compliance vendor for maintaining monthly compliance database Muster cum wage register / Leave Register / New Join & Resign details.
• Working with vendor to prepare and filling monthly / quarterly / half yearly / yearly returns Minimum wage returns, Bonus Returns, Employment Exchange returns reporting of open positions, submission of Gratuity form, Shops & Establishments returns, MLWF returns, Maternity Benefit, ****** Harassment returns.
• Annual Internal Statutory audit and provide required supporting documents as requested by Auditors.
• Vendor onboarding in the HR / Finance systems & agreement uploading on ECLM portal.
• Raising Monthly vendor invoices on the portal (Coupa) (Salary & service fees)
Leave Management :
• Maintaining leave record through LMS portal. Updating New employees in Leave portal, Annual Holiday list uploading, reporting structure changes etc.
• Handling quires if any related to Leaves for employees.
Reimbursements as per India Salary :
• Processing Leave Travel Assistance claims with coordination with Payroll vendor.
• Other reimbursements, generation of Leave encashment report annually for payouts as per policy.
Others :
• Sending Birthday emails on daily basis.
• Tracking the completed Wellness program details on monthly / quarterly basis and reporting the same in the required systems.
• Sharing the ESPP Contributions File quarterly to Global and India finance Team for pay in and payout.
• Maintaining LTA, ESPP, Car allowance & ****** harassment (POSH) documents in HR file.
Education and Experience :
Bachelor’s Degree or equivalent with Full Time MBA in Human Resources from a reputed institution.
