Job Summary:
Performs routine (journey-level) accounting work. Work involves data entry of accounting records; preparing documents for payment of invoices; and maintaining, preparing, examining, and balancing accounting and financial statements, records, documents, or reports. Specializes in accounts payable, processing invoice payments and travel. Works under moderate supervision, with limited latitude for the use of initiative and independent judgment. This position reports to the Accounts Payable Manager in the Office of the Controller Division.
Qualifications
Graduation from a standard senior high school or GED equivalent is required.
One year relevant accounting, accounts payable, or travel experience is required.
Experience with Microsoft Excel and Word is required.
Graduated from an accredited four-year college or university with major course work in Accounting, Finance, or Business Administration is preferred.
Experience with automated accounting systems is preferred.
Experience in accounts payable is preferred.
Experience with Texas State requirements on travel is preferred.
Must be willing to work evenings, weekends, and holidays as workload may require.
Knowledge, Skills, and Abilities:
Knowledge of generally accepted accounting principles and procedures affecting the maintenance of accounting records and automated accounting systems.
Knowledge of accounts payable and travel.
Knowledge of spreadsheets and word processing software.
Strong organization skills and aptitude for detail.
Ability to interpret and apply accounting theory to transactions; to work accurately with financial detail; and to analyze, consolidate, and interpret accounting transactions.
Ability to prepare clear and concise entries, reconciliations, and reports.
Ability to communicate effectively orally, in writing, and on the telephone.
Ability to handle multiple tasks and assignments simultaneously.
Ability to work well in a fast-paced environment while meeting internal and external deadlines.
Ability to maintain a pleasant and professional manner while responding to inquiries from others.
Ability to work effectively in a team environment.
Ability to establish and maintain open and effective working relationships with manager and co-workers.
Physical and Mental Requirements:
Must be able to sit or stand for extended periods of time and operate standard office equipment and computer software.
Essential Job Functions:
Performs data entry of payment documents into internal and external accounting systems.
Provides technical guidance and helps ensure the accuracy of all travel operations of the agency.
Prepares various purchase vouchers for payment of invoices and audits them for accuracy.
Reviews vendor invoices for accuracy and compliance with state law and agency policy. Communicates with vendors and staff as necessary.
Researches and reconciles discrepancies and takes appropriate actions to process accounting transactions or necessary adjustments.
Prepares reports for reconciling vendor payment.
Serves as a consultant/travel specialist for travel matters, assists agency staff with travel issues, answers staff and vendor questions, and follows up when necessary.
Maintains files for all accounting documents.
May assist in matching payment documents to invoices for payment processing.
May recommend improvements, adaptations, or revisions to the accounting system and accompanying procedures.
Performs other related duties as assigned.
