Job Overview
This role provides executive and operational support, ensuring the CEO, President and office are organized, informed, and able to operate efficiently. It combines high‑level administrative coordination with office management, to keep the organization running smoothly. The position requires discretion, communication skills, and attention to detail in a fast‑paced, dynamic environment.
Core Duties & Responsibilities
1. Executive Support (CEO / President)
Manage calendar, scheduling, and prioritization of executive key tasks
Coordinate internal & external meetings (investors, partners, lenders, legal, etc.)
Prepare meeting materials, agendas, briefing notes, and follow-ups
Screen and manage incoming communications (email, phone, mail)
Draft and edit correspondence on behalf of executives
Track action items and ensure timely completion
Book travel (flights, hotels, transport) and manage itineraries
Expense reporting and credit card reconciliation
Maintain confidentiality of sensitive information
Coordinate final document execution on behalf of the CEO/President (DocuSign, etc.)
Maintaining contact database
Assist with preparation of presentation
Coordinate website updates
Maintain brand materials and templates across company and property portfolio
Assist with social media or external communication
2. Office Operations Management
Oversee day-to-day office operations
Manage office supplies and overall office maintenance
Coordinate IT support and equipment needs
Maintain filing systems (digital & physical)
Implement and improve office systems and workflows
Ensure professional office environment at all times
Liaise with building management (maintenance, access, parking)
Coordinate onboarding of new employees
Organize team events and meetings

Core Qualifications
Experience in business administration, office management, and/or communications.
Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort with digital filing systems, DocuSign, and basic IT troubleshooting.
Strong written and verbal communication skills.
Experience Requirements
Experience in an Executive Assistant, Office Manager, Administrative Coordinator, or a combined role.
Experience with investor, client, or stakeholder coordination, ideally in real estate, finance, or professional services environments.
