Qualifications
Minimum of 5 years of experience as an Executive Assistant supporting senior management or in a similar position
Proven experience as an administrative assistant or in a similar role
Strong organizational and time-management skills with exceptional attention to detail
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software
Excellent written and verbal communication skills
Ability to handle multiple demands and prioritize tasks effectively and efficiently
Requires independent judgment and a high degree of initiative in resolving problems and developing recommendations
Experience exercising discretion and maintaining confidentiality
Must be able to juggle many tasks simultaneously and be a 'Jack of all trades'

Responsibilities
Overview: We are seeking a detail-oriented and organized Plant Administrative Assistant to support the administrative functions of our plant operations
You will play a key role in managing communications, coordinating meetings, and assisting the Plant Manager and executive teams with various administrative tasks
Manage plant communications, including phone calls, emails, and inquiries
Assist in coordinating and scheduling meetings, preparing agendas, and organizing site visits
Maintain and organize plant documents, records, and reports
Support the Plant Manager’s agenda, travel arrangements, and administrative routines
Update the plant dashboard, organization charts, and internal directories
Maintain expenses and forecasts for the Plant Manager’s cost center
Coordinate travel arrangements and accommodations for plant personnel
Process orders for office supplies and manage inventory
Organize plant tours and visitor arrangements, ensuring a welcoming environment
Manage complex calendars, including scheduling meetings, appointments, and travel
Coordinate travel logistics and accommodations, ensuring efficient and cost-effective arrangements
Handle expense report submissions and reimbursement processes in a timely manner
Manage and prioritize communications to and from the executive teams
Advise, support, assist, coordinate, and collaborate on complex special projects involving multifaceted teams
Handle details of a highly confidential and critical nature
Delegate responsibilities for efficient and timely management of activities
