Job Summary
The Senior Associate, Administrative Services will play a critical role in supporting the efficient operation of our office by providing administrative assistance and coordinating various tasks. Our future team member will have strong organizational skills, excellent communication abilities, and a dedication to delivering high-quality service.
Responsibilities
• Assist in handling daily administrative tasks, such as answering calls, replying to emails, and managing correspondence.
• Maintain office supplies inventory and place orders to ensure sufficient stock.
• Assist in scheduling appointments, meetings, and conference calls, coordinate logistics, and send out reminders.
• Welcome visitors and guide them to the relevant team member department.
• Manage incoming and outgoing mail, including sorting, distributing, and processing shipments.
• Maintain a neat and organized and organized reception area, breakroom along with all fridges in the offices and meeting rooms
• Manage and oversee fire warden program for the Atlanta location and support day-to-day logistics and overall coordination within the department.
• Ensures that the resources of the company are efficiently utilized. Evaluate and propose any change in existing policies and procedures to improve cost efficiency and overall effectiveness.
• Ensuring a professional and welcoming environment for guests and employees.
• Assist in coordinating office maintenance, repairs, and janitorial services as needed.
• Receive and review incoming invoices from vendors and suppliers.
• Verify the accuracy of invoices, including quantities, prices, and terms.
• Promptly and accurately code and enter invoices into the accounting system.
• Monitor office equipment and troubleshoot issues, liaising with vendors for repairs or replacements.
• Assist in ensuring compliance with health and safety regulations and emergency procedures.
• Maintain accurate and up-to-date filing systems for documents, records, and confidential information.
• Provide employees with Admin services support necessary to increase employee satisfaction at
the workplace
• Assist in data entry and recordkeeping tasks, updating databases and spreadsheets as required.
• Assist with event planning and coordination, including logistics, catering, and attendee management.
• Handle ad hoc administrative tasks and projects as assigned by management.
• Act as the primary contact with the property manager.
• Provide assistance to the Associate Director – Admin Services during their absence and perform other tasks as requested.
• Assist in responding to emails and answering tickets through the support center.
Required Qualifications
• 5-7 years prior work experience is a plus
• Possess practical understanding of office tools such as computers, photocopiers, postal devices, and telephones.
• Display strong planning and organizational skills, along with a high attention to detail
• Demonstrate being a valuable team member with the ability to establish trustful relationships with both clients and colleagues.
• Demonstrate a working knowledge of Microsoft Office suite
• Ability to multitask and prioritize multiple projects.
• Demonstrate a dedication to ongoing education.
• Exhibit exceptional listening and communication skills, effectively conveying information verbally and in writing.
