We are seeking a Senior Portfolio Administrator to play a leadership role within our operations and client service team.

Role Overview

The Senior Portfolio Administrator is a key operational leader responsible for overseeing administrative functions, managing service workflows, and ensuring a seamless client and advisor experience. This role acts as the operational backbone of the firm, working closely with Portfolio Managers, Client Relationship Managers, compliance, and operations. This position is ideal for someone who is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced, discretionary wealth management environment.

Key Responsibilities:

Administrative & Operational Oversight

Oversee daily administrative functions across client accounts
Manage and monitor the firm’s client service inbox, ensuring timely responses and appropriate task delegation
Coordinate service workflows and ensure service standards are met consistently
Client & Advisor Support

Serve as a senior escalation point for client and advisor requests
Support Portfolio Managers and Relationship Managers with account-related inquiries
Ensure service requests are handled efficiently, accurately, and in compliance with regulatory standards
Process Management & Improvement

Improve operational procedures and client service workflows
Maintain documentation standards and ensure regulatory compliance across service functions
Assist with audits, reporting, and internal controls as needed
Team Leadership

Support and mentor junior administrative staff
Help create structure and accountability within the operations team
Qualifications & Experience:

Minimum 5+ years of experience in wealth management, portfolio administration, or investment operations
Strong understanding of discretionary portfolio management environments including portfolio trading
Experience managing high-volume client requests and service workflows
Excellent organizational and time management skills
Strong written and verbal communication skills
High attention to detail and accuracy
The following will be considered an asset:

Experience working with Canadian custodians (e.g. Fidelity Clearing Canada)
Familiarity with CRM systems and portfolio reporting tools
Knowledge of regulatory and compliance requirements within Canadian wealth management
