We are looking for an Executive Assistant to join our family office team in North Vancouver. This position requires a confident individual that is self-motivated and eager to excel in several capacities and opportunities. You will require a high level of professionalism in dealing with senior business leaders inside and outside the organization, and a high level of integrity and discretion in handling confidential information. You will play a pivotal role in maintaining efficiency, communication, and task management within the company.
The ideal candidate will have strong attention to detail, prioritize appropriately, have great communication skills and be comfortable dealing with confidential information with little supervision. This individual will be primarily responsible for overseeing all tasks related to office management of our small family office.
Duties:
Work closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities while following up appropriately
Organize and maintain daily calendar and schedule of events for CEO and departments
Ensure smooth uninterrupted operation of daily office upkeep, staff scheduling and events
Respond to customer requirements accurately and professionally in a timely manner (requests for quotes, appointments, product information, order tracking details etc).
Assist in property management and of commercial and residential properties including repairs/maintenance and communications with tenants
Assist in personal errands and tasks outside the office
Assist in social media/marketing content for the business
Undertake all aspects of administration for EVP and department –assist in completing expense reports, pay invoices, track expenses, cash flow, receipts, and other financial dealings with the company
Clean up/maintain old and current various project files and items
Work independently on special nonrecurring and ongoing projects which may include planning and coordinating multiple tasks and disseminating information
Qualifications:
The ideal candidate would have a Bachelor’s degree in Business, Administration, or a related field
Proficient in Microsoft Office, Excel and Word
Excellent attention to detail, organizational and communication skills (both written and verbal) and the ability to interact effectively with all levels of internal and external stakeholders
Proven ability to handle confidential information with discretion
Efficient self-starter with a demonstrated proactive approach in dealing with differing situations requiring searching for solutions, with an ability to operate effectively in a fast-paced environment
Experience in a start-up company is an asset
Solid understanding of basic accounting principles
Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
Ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively and promptly to issues that arise
Must have a valid drivers license and access to a vehicle and live near North Vancouver.
Job Type: Full-time
Pay: $45,000.00-$55,000.00 per year
