Job description, work day and responsibilities
POSITION SUMMARY:
As a member of the leadership team, the Director of Finance reports to the Executive Director and is accountable to develop and maintain effective and efficient financial accounting processes, procedures, and controls on behalf of the organization. Specifically, the incumbent manages the end-to-end accounting cycle, which includes financial forecasting, budgeting, accounting of revenues and expenditures, financial analysis and reporting, financial compliance and control, and managing the audit function. Other key accountabilities include managing insurance coverage/premiums, assessing and mitigating risk, and participating in the strategic business planning process.
PRIMARY RESPONSIBILITIES:
Financial Accounting
Ensures all financial systems, policies, processes, and controls are established and comply with accounting and audit standards and practices; keeps current on changes to standards and practices.
Forecasts budget requirements on an annual basis, providing rationale as required.
Monitors, analyzes, and reports on the financial performance of the organization on a continuous basis.
Prepares financial statements and reports on a monthly, quarterly, and annual basis; researches variances and provides explanations as required.
Oversees the cash flow process to ensure funds are available and financial requirements are met.
Manages the credit card purchase process. Ensures receivables and payables are administered and reconciled correctly.
Consolidates the budget into an acceptable format for submission to the Ministry of Social Services.
Complies with CRA requirements, ensuring taxation and other regulatory filings are completed in a timely and accurate manner.
Prepares all necessary documents and information (e.g., year-end and working papers) for audit purposes; works with external auditors; prepares audited financial statements for the Ministry and Annual Report.
Leads and coordinates external sourcing of IT support (contractual service agreements).
Leadership –
Identifies and manages risk that may interfere with the organization’s financial operations and objectives; advises the Executive Director accordingly.
Participates in establishing the strategic direction and business plans for the organization; identifies specific business requirements and goals for the Finance Department; monitors and reports on outcomes. Provides financial recommendations, advice, and related information to the Executive Director and Board Members as required.
Regularly attends Board meetings and provides financial statements to the Board; represents the Finance Department in internal/external meetings.
Acts as signing officer for the organization.

Processes and Programs
Identifies and establishes improvement opportunities for the accounting department.
Ensures the finance operation functions in accordance with the direction and expectations from the Ministry of Social Services.
Develops all accounting policies and processes; ensures these are communicated and understood by all employees.
Ensures all insurance and liability coverages (home, insurance, etc.) are established and maintained for the organization and its employees. Works with brokers and negotiates rates as appropriate. Manages insurance claims as required.
Communicates with financial institutions and vendors and negotiates terms, rates, and other financial matters.
Leads the process for contracted services and agreements, including developing and maintaining RFP’s and negotiating contractual terms; responds to contractual proposals from the Ministry of Social Services in consultation and collaboration with Child Care Services.
Finance Department Human Resources:
Responsible for all aspects of the human resource function with respect to the Finance Department’s staff complement.
Directs the work function of employees in the Finance Department; oversees their work/results and provides appropriate feedback.
Personally demonstrates the values of the organization and establishes a culture based on these foundational values.
Provides input into the collective bargaining process; calculates the impact of changes to compensation and benefits administration as necessary.
Ensures staff safety is a priority; effectively manages sick leave, workers’ compensation or disability claims, and the return-to-work process.
QUALIFICATIONS:
Formal Education:
A CPA designation is necessary. Experience –
Five years of senior, progressive business and financial accounting experience with a proven record of success.
Experience working within a community-based organization focused on the well-being of children is an asset.
Financial management and control within the non-profit sector is an asset.
Knowledge –
Comprehensive knowledge of financial accounting processes and related reporting principles and practices, internal controls, and audit requirements. Applied knowledge of laws and regulations relating to the accounting function, e.g., taxation laws.
Knowledge of Indigenous culture, social programs, and community-based challenges and opportunities is an asset.
Skills –

Skilled using MS Office (Word, Excel), email, internet and financial systems

Working Conditions:
Attending meetings or events that are often outside of normal business hours is required.
Sitting and standing for extended periods of time is required, as is concentration and eye strain from computer use.
Finger dexterity is required due to extensive computer/calculator use.

Employment is conditional upon a positive outcome from a criminal background check.
