Job Description:
We are seeking a dynamic and detail-oriented Event Planner with a minimum of 1-2 years of experience to join our team. The ideal candidate will have a proven track record in organizing successful events and strong sourcing skills to ensure the best vendors and venues. You will be responsible for the planning, coordination, and execution of various events, ensuring that each event meets the client’s expectations and is executed flawlessly.
Key Responsibilities:
1. Event Planning and Management:
- Plan and organize events from conception to completion.
- Coordinate all event logistics including venue booking, catering, transportation, and accommodation.
- Develop event concepts and themes tailored to client needs.
- Create and manage event timelines, budgets, and checklists.
2. Vendor Sourcing and Management:
- Source and negotiate with vendors to secure the best quality and pricing.
- Build and maintain strong relationships with vendors and suppliers.
- Evaluate vendor performance and ensure adherence to quality standards and deadlines.
3. Client Interaction:
- Act as the main point of contact for clients throughout the event planning process.
- Understand client requirements and preferences, and ensure they are met.
- Provide regular updates to clients on event progress and address any concerns.
4. On-Site Event Coordination:
- Oversee event setup, execution, and breakdown.
- Manage event staff and volunteers.
- Ensure all aspects of the event run smoothly and handle any issues that arise.
5. Marketing and Promotion:
- Collaborate with the marketing team to promote events.
- Utilize social media and other marketing channels to increase event visibility and attendance.
- Develop promotional materials and strategies to attract attendees.
6. Post-Event Activities:
- Conduct post-event evaluations to determine areas for improvement.
- Prepare event reports and feedback summaries.
- Follow up with clients and vendors post-event for feedback and future opportunities.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Business, or related field.
- Minimum of 1-2 years of experience in event planning and management.
- Strong sourcing and negotiation skills are essential.
- Excellent organizational and time management skills.
- Ability to manage multiple projects simultaneously and meet tight deadlines.
- Strong interpersonal and communication skills.
- Proficiency in event management software and Microsoft Office Suite.
- Creative thinking and problem-solving abilities.
- Flexibility to work evenings, weekends, and travel as required
