Description

The Office of Signature Learning Experiences (OSLE) within The Taylor Institute for Teaching and Learning is currently seeking a Full-time Regular Experiential Learning Specialist.

Reporting to the Experiential Learning Manager, with accountabilities to the Academic Director, Research Experiences, the Experiential Learning (EL) Specialist provides expertise as a specialist in programming and administration of experiential learning initiatives, with a strong focus on undergraduate research.

The Office of Signature Learning Experiences is a central unit that promotes, offers, supports and tracks experiential learning opportunities for UCalgary students. The office will be a visible and recognizable point of contact for students looking to engage in signature learning experiences and for academic units wanting to enhance experiential learning opportunities in global learning, entrepreneurship, work-integrated learning and undergraduate research, and more.

This role requires frequent collaboration with staff and faculty in other units across campus. The Specialist manages day-to-day relationships and the day-to-day administration of a variety of undergraduate research and experiential learning programs and initiatives. Areas of focus include the Program for Undergraduate Research (PURE), Ready for Research (R4R), program development and support for undergraduate research, project and data management for experiential learning initiatives, and other experiential learning projects.

The incumbent will be responsible for managing, organizing and tracking cross-campus projects, programs and initiatives in experiential learning and undergraduate research in collaboration with a variety of staff in the OSLE and across campus to support the priorities outlined in the EL Plan.

Summary of Key Responsibilities (job functions include but are not limited to):

Responsible for the day-to-day administration of Ready for Research micro-credential, undergraduate summer studentships and the Research Skills Foundation badge.
Collaborate with partners across various units, including Cumming School of Medicine, Information Technologies, and Research Services.
Advises students, faculty, staff, and external partners on policies, procedures, requirements and deadlines to ensure the smooth delivery of EL and undergraduate research programs including PURE.
Participates as an active member and supports coordination of committees, as required, to provide observations, recommendations, and feedback that influence the delivery strategies, policies, procedures, and initiatives related to EL.
Act as the main day-to-day contact to advise faculty coordinators across campus on enquiries related to undergraduate research awards, the award platform, the awards program, and other logistical or procedural details.
Provide day-to-day administration of the undergraduate research awards platform including training of other users, troubleshooting and creating system documentation and escalating issues and opportunities.
Manage multiple inboxes responding to student, faculty and staff enquiries promptly.
Collect and organize qualitative and quantitative feedback from campus partners, supporting program evaluation, reporting and improvements of EL and undergraduate research initiatives.
Effectively manage data and maintain accurate records related to undergraduate research and experiential learning initiatives adhering to university regulations for data storage and retention.
Contribute to reports and presentations as part of regular program evaluation processes.
Lead the organization, presentation development and implementation of annual summer studentship information sessions in collaboration with key campus partners with direction and support from the Academic Director and Manager.
Deliver programs and workshops; support the coordination of EL micro-credentials and lead presentations to large student, faculty and staff audiences.
Mentor and collaborate with undergraduate and graduate student staff and volunteers.
Qualifications / Requirements:

An undergraduate degree.
Minimum three years of program management/coordination experience.
Demonstrated experience in data management (collecting, organizing, analyzing).
Intermediate functionality in Microsoft Excel (managing large datasets, pivot tables, advanced-level functions and formulas including XLOOKUP) is a requirement. Demonstrated project management skills and experience navigating competing priorities, managing workflows, and working to deadlines.
Highly developed organizational skills and ability to anticipate needs, plan, organize, coordinate and perform work with little or no directions.
Demonstrated ability to develop and maintain documentation related to complex program processes.
Strong attention to detail, sense of initiative and problem-solving skills required.
Ability to synthesize knowledge and experience from complex programs, initiatives and processes into digestible responses to queries from students and manage a high volume of daily correspondence.
Experience delivering training, group facilitation and presentations of various sizes and audience types.
Familiar with program evaluation methods and techniques (quantitative methods and surveys) is an asset.
Strong written communications skills with demonstrated experience writing for a variety of audiences.
Knowledge of university business systems - Microsoft Office, PeopleSoft, Qualtrics, Zoom, AwardSpring and other web-based applications.
Knowledge of university culture, context, and strategic plans is an asset.
