Job description
The Citadel Theatre, one of Canada’s largest and busiest professional, not-for-profit theatre companies and facilities, has an opening for a Grants & Database Administrator. The Grants and Database Coordinator plays a key role in the submission, reporting and management of grants and applications for The Citadel Theatre. This position will also oversee the management of donor data and processes in Tessitura, the Citadel Theatre’s CRM software. Reporting to the Director of Community Engagement, this position will work closely with the Community Engagement team to support revenue generative programs.
KEY ACCOUNTABILITIES
• Facilitate the preparation and submission of grant proposals, collaborating with Citadel staff to secure funding from a diverse range of funders, including government agencies, private foundations, and corporate partners.
• Prepare and submit timely, accurate reports to funders in collaboration with other Citadel departments, ensuring all requirements are met.
• Support the maintenance of the Citadel’s philanthropic database by issuing tax receipts, recording actions, and monitoring activity and reports.
• Document grant-writing, and data management processes; provide accurate information to Finance, establish, improve, and maintain procedures to accurately code and track funding.
• Update and maintain standard operating procedures for department data entry and reporting to ensure compliance with organizational standards and AFP best practices.
• Identify, research and document prospective funders and supporters through prospect research tools.
• Provide administrative support for Community Engagement events, programs, and projects.
• Other duties as assigned.
REQUIRED QUALIFICATIONS
Experience: Post-secondary diploma or degree in Arts Management, Marketing, Business or Business Administration, or equivalent work experience. 2+ years of directly related experience in the writing, application and stewardship of government and/or foundation grants in the non-profit sector, including a proven track record of successful grant applications and fundraising databases.
Skills:
• Experience in grant writing and communications with funders such as Edmonton Community Foundation, Edmonton Arts Council, Alberta Foundation for the Arts, Canada Council for the Arts and Canadian Heritage
• Experience with database management, and CRM platforms, experience in Tessitura would be an asset.
• Experience with grant management and reporting in SmartSimple, GATE, and CADAC.
• Proficient in Microsoft 365 applications.
• Excellent verbal and written communication skills.
• Excellent attention to detail and strong organizational skills.
DESIRED QUALIFICATIONS
• Collaborative and flexible team player, with experience working in multi-stakeholder, not-for-profit organizations.
• knowledge of municipal, provincial, and national arts funding landscape.
• Knowledge of the guidelines for charities from the Canada Revenue Agency.
ADDITIONAL REQUIREMENTS
• Available to work daytime, and occasional evenings, and weekends.
• The successful candidate will be required to complete a Vulnerable Sectors Check as a condition of employment.

Salary Range: $48,000 – $58,000
