About the Role:
Reporting to Manager of Marketing, Professional & Continuing Studies the incumbent contributes to marketing, sales, and business development efforts by assisting with content creation, social media management, basic graphic design, event support, and contact organization. The incumbent also provides front-line communications for the Professional & Continuing Studies department. The incumbent serves as the first point of contact for the department, managing the department inbox, responding to inquiries, and providing on-site support to guests, clients, and students.
The Marketing & Sales Assistant will:
Provide on-site support to guests, clients, and students, addressing their needs, problem solve day to day issues, and directing them appropriately;
Answer phone calls and communicate effectively as a representative of the university and department;
Assist with social media content creation and management, including content calendar creation, scheduling posts, monitoring engagement, and tracking analytics;
Support the creation of basic graphic design elements for marketing materials (e.g., social media posts, flyers);
Coordinate content writing with outsourced vendors, ensuring timely delivery and quality;
Assist Manager, Marketing with paid traditional and digital advertising objectives as required (e.g., Meta ads, tradeshows, vendor booths);
Gather and analyse data on competitors, target audiences and industry trends;
Support the planning and logistics of events, liaising with internal and external partners, coordinating services required for events including selecting and booking vendors, negotiating contracts, arranging guest speakers, invitations, catering, audio-visual and equipment;
Capture event photography and perform basic photo editing for marketing purposes;
Plan, organize and coordinate on and off campus Faculty and community partner event details;
Provide general administrative support to the Director, PCS, and the Manager, PCS Marketing;
Assist with business development initiatives, such as researching potential clients and partners;
Ensure the day-to-day financial activities of the department are carried out according to best practices and comply with university policy and procedures.
Please note: This position may also require you to work evenings and weekends based on operational needs.
Key Skills and Experience:
Certificate/diploma in area of marketing, graphic design, media (photography or video), digital marketing, or equivalent combination of education and experience;
Valid G class driver’s license with an acceptable drivers’ abstract;
Experience in a marketing, sales, customer service, or administrative support role;
Experience working and communicating cross culturally;
Excellent written and verbal communication skills;
Strong organizational and time management skills;
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
Familiarity with social media platforms (Facebook, Instagram, LinkedIn);
Familiar with AI platforms and responsible use of AI in a workplace environment;
Ability to prioritize tasks and manage multiple projects simultaneously;
Promotes and embodies inclusivity and respect within the workplace and the broader community. 
Preferred or Asset Skills:
Undergraduate Degree;
Basic graphic design skills (Adobe Suite);
Experience with newsletter software (e.g., MailChimp, Constant Contact, CampaignMonitor);
Knowledge of professional and continuing education;
Experience working with Wordpress, Google Ads, Meta Business Suite;
Proficiency in additional language(s) would be an asset. Such as: Japanese, French, Spanish, Chinese, Korean, Vietnamese.
Salary and Total Rewards:
Job Grade I, Salary Scale ($52,0+3 - $84,476)
Target Hiring Range: $52,0+3 - $55,000*
This is a permanent position that includes:

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
