Oxbow Aquatic Services is a growing service company specializing in the maintenance and construction of water features of all kinds—from backyard ponds and large swimming ponds to lake water management—throughout the greater Victoria area. We're currently looking for a reliable and organized Office Administrator to help keep our daily operations running smoothly.
Job Summary
The Office Administrator plays a vital role in supporting the daily administrative functions of the company. This position ensures the smooth and efficient operation of the office through a variety of administrative, clerical, and customer service tasks.
The ideal candidate has strong communication skills, works well independently, is detail-oriented, proactive, and able to manage multiple responsibilities in a fast-paced environment.
This is a remote, work-from-home position.
Key Responsibilities
● Communicate with clients regarding ongoing and upcoming jobs
● Answer and direct phone calls, emails, and inquiries professionally and efficiently
● Schedule appointments and service calls; manage calendars for field teams
● Maintain both digital and physical filing systems, including invoices, work orders, and client records
● Prepare and process quotes, invoices, purchase orders, and various reports
● Assist with onboarding new employees and maintain personnel documentation
● Coordinate communication between the office, field staff, and clients
● Perform general bookkeeping tasks to support the company accountant
● Assist with marketing efforts and manage social media tasks, if applicable
Qualifications
● Proven experience as an Office Administrator, Administrative Assistant, or similar role
● Strong organizational and time management skills
● Excellent written and verbal communication skills
● Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace
● Familiarity with scheduling or CRM software (e.g., Jobber, ServiceTitan, Housecall Pro) is a plus
● Ability to handle sensitive information with discretion
● High school diploma required; additional certification or education is a plus
