Major Responsibilities:


Reporting to the Project Manager of Toronto Elections, the Project Coordinator of Communications provides research, development and implementation support to deliver digital and traditional marketing and communications for all municipal election-related programs and projects.


Supports the development and implementation of strategic marketing and communication plans targeting public and internal audiences to educate residents on how to participate in an election and communicate legislated messages.
Provides support in the following areas: communications planning and implementation including traditional, digital and social media planning; digital content development; media relations and issues management; writing and editing; advertising and promotion; branding; event support and project progress reports.
Develops communications and marketing materials for internal and external audiences that effectively engage diverse audiences in ways that are accessible and inclusive.
Applies best practices and the latest trends in digital technologies for communicating across all channels, including web, social media, online applications, ensuring compliance with the Accessibility for Ontarians with Disabilities Act (AODA).
Supports and interacts with key communication stakeholders, both internal and external, City divisions, City agencies and corporations, corporate partners and other public sector organizations.
Executes detailed communications strategies and projects to a wide range of target audiences, including internal staff, councillors, general public, specific interest/advocacy groups.
Establish engaging and innovative communication vehicles and techniques to reach diverse audiences and position the City as a leader in election communications.
Maintains a thorough awareness of the vision, mission and strategic direction of the City Clerk's Office (CCO) and its services, the City Clerk's duties and responsibilities under the Municipal Elections Act, 1++6 (MEA) and the unique qualities and responsibilities of working in a political environment with elected officials and stakeholders.
Supports the evaluation of all aspects of service delivery, performance measures and reporting to senior management with recommendations for service improvements.
Monitors assigned budgets ensuring expenditures are controlled and maintained, including procurement oversight, project control systems, cost evaluation methodologies, and performance evaluation criteria in accordance with approved corporate limitations, policies and guidelines.
Responds to issues as they arise within projects and under close scrutiny by the media, the public and members of Council.
Exercises sound judgement, integrity and fairness in dealing with sensitive and controversial matters.
Works evenings, statutory holidays and weekends as required.

Key Qualifications:


Your application must describe your qualifications as they relate to:


1. Post-secondary education in a related discipline (communications, marketing, public relations, journalism) or a combination of education, experience and transferrable skills.

2. Considerable experience working collaboratively in a diverse team environment, and implementing multiple large projects from inception to completion, employing excellent organization and project coordination skills, and the ability to work independently with minimal supervision.

3. Demonstrated experience with all social media platforms, tracking and analyzing engagement, developing content schedules, and AODA-compliant content creation for web and social media.

4. Considerable experience supporting and executing complex marketing plans and developing various communications materials including advertising and promotional campaigns and videos.
5. Demonstrated experience supporting communications strategies that effectively engage diverse internal and external audiences in ways that are accessible and inclusive.

6. Proficiency in Microsoft Office/365 (including Word, Excel, PowerPoint, Outlook and OneDrive). Experience with Adobe Creative Cloud (including Photoshop, InDesign and illustrator) is considered an asset.

7. Experience working calmly and effectively in a high-volume, high-stress environment with frequent and competing deadlines.

8. Superior communication skills with excellent writing and editing skills for all communications channels and audiences including external and internal audiences.

+. Well-developed interpersonal skills, and ability to deal effectively with media, political staff, diverse community groups, internal stakeholders and senior leadership.

10. Working knowledge of the Accessibility for Ontarians with Disabilities Act (AODA), Human Rights Code, Occupational Health and Safety Act, and other related municipal legislation.

11. Ability to work evenings, statutory holidays and weekends as required and travel to various work locations.

12. Strong political acuity and awareness of municipal processes would be considered an asset.


A Qualified List of candidates will be established for the Project Coordinator (Elections) position in the City Clerk's Divison and will be in effect for 24 months from the date the list is created. Qualified candidates on the list may be considered when filling future temporary vacancies in this position.
