Job Overview
We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. The ideal candidate will play a crucial role in managing day to day staffing and ensuring smooth operations within our organization. This position requires excellent communication and organizational skills and proficiency in administrative tasks. The Scheduling Coordinator will be responsible for coordinating schedules, hiring staff, and providing exceptional support to our Magnolia team.

Responsibilities
Staff Scheduling
· Develop and maintain daily, weekly, and monthly schedules for nursing and support staff, ensuring compliance with approved staffing ratios. Enters and maintains employee time card data.
Shift Coverage:
· Arrange coverage for call-outs, vacations, and leaves of absence by coordinating replacements and adjusting schedules as necessary.
Communication:
· Act as the main point of contact for staff regarding schedule changes, shift availability, and staffing concerns.
Record-Keeping:
· Maintain accurate records of schedules, time-off requests, overtime, and attendance to support payroll and compliance needs.
Regulatory Compliance:
· Ensure schedules align with staffing ratios and state/federal regulations for long-term care facilities.
Collaboration:
· Work with department managers and human resources to address staffing shortages and assist with recruitment efforts if needed.
Technology & Systems:
· Utilize scheduling software and electronic health record (EHR) systems to manage staffing efficiently.
Problem-Solving:
· Quickly and effectively resolve scheduling conflicts and unexpected staff shortages. Provides educational support for staff using all scheduling programs and processes.
Reporting:
· Generate and analyze scheduling reports to identify trends, overtime usage, and potential staffing issues.
Quality Improvement:
· Actively participates in quality initiatives including but not limited to; monitoring, data collection, planning and evaluating.
Emergency Planning:
· Know and adhere to Fire, Emergency & Security policies, and procedures and actively participate in committees or programs.
Creating a Human Habitat
· Maintain safety of the resident environment.
· Organize resident environment to accommodate personal choice and independence.
Qualifications
Previous experience in a health care scheduling role or administrative role is preferred.
Strong communication skills with the ability to handle inquiries professionally.
Proficiency in Staff Schedule Care for scheduling an asset.
Excellent organizational skills with a keen attention to detail for accurate record keeping.
Strong interpersonal skills to interact effectively with residents and team members.
A proactive attitude towards problem-solving and multitasking in a fast-paced environment.
