About the location:

Key Elements of the Job
• Receive and respond to incoming telephone calls with professionalism and warmth, and assist with overflow calls for the Sales, Events and Catering team.
• Prepare accurate written correspondence including emails, contracts, reports, banquet event orders, schedule of events, floorplans, and printed event menus and signage. Proficient using Microsoft Office, Outlook, Teams, OneDrive, Word, Adobe, Canva, Golden Sales & Catering, Microsoft Power BI, and other programs as needed.
• Maintain Golden Sales & Catering accounts, including activities, creating and updating bookings, manipulating events in the function diary, updating and owning menu items for BEO creation and the preparation of Banquet Event Orders.
• Facilitate all aspects of Internal Events & Meetings for People & Culture, Department heads, Ownership meetings, and other internal requests as needed.
• Complete distribution of Catering correspondence to the Hotel operating departments as required. Examples: provide Guest Welcome Cards, Group Resumes and Banquet Event Orders, etc.
• Maintain the various Catering systems and daily, weekly, monthly and quarterly reports, including daily Event Distribution, Managing Banquet Event Order Book, Labor Reports, End of Month/Quarter Reports, Group Resumes, etc.
• Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, and office label makers as needed.
• In the absence of Events or Conference Services Management, assist clients and seek out solutions to requests in a friendly, caring, helpful and timely manner.
• Perform assistance with tasks in the absence of the Group Sales Coordinator
• Participate in scheduled departmental and administrative meetings as requested.
• Available to actively assist in event setups, teardowns, and last-minute adjustments as needed, collaborating with Banquet teams and other departments.
Preferred Qualifications And Skills
• Fluent in English and possesses professional communication both written and verbal
• Possesses a positive, friendly, and warm demeanor, ensuring excellent interactions with colleagues and creating a welcoming first impression as the primary lead catcher for clients
• Proven ability to prioritize effectively, manage multiple tasks simultaneously, and meet deadlines in a fast-paced setting
• Extreme attention to detail, organizational skills, and strong ability to anticipate needs and resolve challenges proactively
• Adaptable and thrives in dynamic environments, staying calm and flexible when faced with last-minute changes or urgent requests
• Highly dependable, accountable, and capable of working independently while contributing to team success
• Strong problem-solving skills, with a focus on providing timely, practical solutions to ensure seamless operations.
• Familiarity with Hotel, Banquets, Events, or Restaurant front and back-of-house operations is a plus
• College education preferred or similar work experience
• Ability to type 50+ WPM and comprehensive computer skills
• Previous experience in secretarial, administrative, hospitality, events, or related roles is required
• Must be available to work on-site Monday through Friday (Hybrid or Remote option will not be considered)
