If you love checklists, deadlines, clean copy, and making sure nothing falls through the cracks, this is your role.
About The Role
The Content & Operations Coordinator is the organizational anchor for our team. Youâll balance project tracking, budget monitoring, internal operations, content support, event logistics, onboarding, and digital tools management to keep everything running smoothly.
This isnât a design role â itâs about being the person who manages the details that ensure our creative work meets deadlines, stays within budget, and goes out polished and on-brand.
Key Responsibilities
Project & Budget Tracking
- Track client budgets and internal hours against retainers.
- Flag overages or risks before they become issues.
- Manage ClickUp (or project management tool) to keep deadlines, tasks, and progress updated.
- Ensure internal dates and milestones are remembered and met.
Operations Support
- Maintain and update SOPs, calendars, and project documentation.
- Keep client folders, brand kits, and assets organized and easy to access.
- Standardize file naming, delivery formats, and reporting templates.
- Support with onboarding Zoom calls for new clients, capturing notes and setting up next steps.
- Manage and troubleshoot Google Workspace tools (Docs, Sheets, Drive organization, Forms, etc.).
Content & Communications
- Draft and edit blogs, product descriptions, captions, and delivery reports.
- Proofread and audit content for grammar, clarity, formatting, and brand alignment.
- Support the team in drafting responses for Facebook questions or client FAQs.
- Take structured notes during internal/client meetings and turn them into clear action steps.
Event Logistics
- Assist with planning and coordinating event logistics (scheduling, vendor coordination, materials prep).
- Track budgets and timelines for events.
- Attend events to provide on-site support and ensure smooth execution.
- Capture follow-up notes, reports, and post-event deliverables.
Ideal Candidate Traits
Detail-oriented & accurate â you take pride in getting things right.
Organized & structured â you enjoy keeping processes and events running smoothly.
Reliable & dependable â people can count on you to follow through.
Strong writer/editor â sharp eye for grammar, tone, and clarity.
Calm under pace â you thrive in support roles, keeping order even when things move fast.
Tech-comfortable â confident using Zoom, Google Workspace, and project management tools.
People-friendly â comfortable supporting onboarding calls and representing CJC at events.
Skills & Experience Requirements
2+ years experience in project coordination, operations support, communications, or a similar role
(agency/marketing experience preferred).
Proficiency with project management tools (ClickUp, Asana, Trello, or similar).
Strong command of Google Workspace (Docs, Sheets, Drive, Forms, Calendar).
Excellent written communication and editing skills.
Experience with event logistics or coordination a plus.
Comfortable leading or supporting onboarding/training calls on Zoom.
Ability to manage multiple deadlines and priorities without losing accuracy.
Why Youâll Love This Role
This role is made for someone who thrives in the rhythm of both consistency and creativity. Youâll handle recurring tasks with excellence until they become second nature. At the same time, youâll bring those skills into different corners of our business, from copywriting to reports to client communications, so the work always feels fresh and engaging.
Your contributions will be the quiet strength that allows the rest of the team to move boldly and creatively. Because of you, projects will flow more smoothly, clients will feel more cared for, and our deliverables will shine with professionalism. If you love being the one who ensures nothing slips through the cracks, this is where youâll thrive.
Itâs the best of both worlds: steady and reliable structure, with enough variety to keep you inspired. And youâll be surrounded by bright, creative women who make collaboration just as fun as the work itself.
