Overview:
Provide high level administrative and secretarial support to the Deputy Vice-Chancellor (DVC) of the STEM College
Make a meaningful impact across the University by engaging with senior leaders and external partners
Full-time, HEW 7 ongoing appointment based at the City Campus but may be required to work and/or be based at other campuses of the University.
About the Role
The Executive Coordinator provides critical executive and administrative support to the Deputy Vice-Chancellor (DVC) STEM and the Office of the DVC STEM, ensuring the smooth operation of day-to-day activities across the STEM College. Acting as the first point of contact for the DVC, the role requires a high level of discretion, initiative, and professionalism, with regular interaction across the University and with external stakeholders. This role will see you:
Managing the DVC’s complex calendar, travel arrangements, and meeting coordination
Preparing high-quality briefing materials, correspondence, and reports
Coordinating key meetings and university-wide events, including agendas, minutes, and follow-up action
Supporting the operation of governance committees and internal communications
Overseeing office and records management in line with university procedures
Facilitating timely and effective communication with senior staff, government representatives, and external organisations
Assisting with the delivery of special projects and strategic initiatives led by the DVC STEM
About You
You’re an experienced executive support professional with a strong background in high-level administration, ideally within a university or similarly complex environment. You bring discretion, initiative, and the ability to manage competing priorities with professionalism.
We’re looking for someone who can demonstrate:
Executive-level support experience in a large, fast-paced organisation.
Excellent communication skills, with a collaborative, client-focused approach.
Initiative and strong problem-solving skills, with the ability to work independently and handle sensitive matters.
Advanced proficiency in Microsoft Office and digital document management tools.
Experience in financial administration (highly desirable).
Understanding of the tertiary education sector (highly desirable).
Qualifications
A tertiary qualification with subsequent relevant experience and/or an equivalent combination of relevant education/training and extensive experience.
