Job description, work day and responsibilities
The primary objective of the role is to develop, implement and govern processes and metrics pertaining to HR operations, exit and Learning operations for all our Pharma related businesses. We are looking for a smart, energetic and well organized HR professional who will be part of our Global Employee Experience Centre (GEEC) team.
KEY STAKEHOLDERS: INTERNAL
Business HR Heads, HRIT, Talent Acquisition team, Business and Corporate Finance team, Admin, IT, GEEC Team
KEY STAKEHOLDERS: EXTERNAL
International Payroll service provider, Statutory authorities, Compliance partners
Reporting Structure
This position will report to the Head- GEEC & HRIT
There are 3 direct reports to this position
Qualification
Masters in Finance, Human Resources or Operations
Experience
• Total 7 to 10 years in the areas of Operational excellence, Human Resources, Payroll management, HR shared services, HRIS
Skills And Competencies
• Strong bias for action, ownership of agenda and accountability
• A positive "can-do" attitude and result oriented approach
• Strong leadership capabilities
• HR functional knowledge and particularly around key HR processes
• Excellent analytical and decision making abilities
• High proficiency in MS Excel
• Knowledge and execution skills for quality control tools, lean & six sigma methodology to drive process efficiency and effectiveness
• Strong knowledge of employment and labour laws
• Hands on experience with any global HRMS
• Strong communication skill- both written and verbal
Key Roles & Responsibilities
HR process excellence
• Design, implement and continuously improve HR processes to consistently deliver a superior and personalized employee experience
• Overseeing the full onboarding lifecycle to deliver a smooth, engaging experience that enhances employee satisfaction and drives early performance
• Responsible to establish effective metrics and efficient delivery of HR operations across the employee life cycle, post onboarding
• Identify process / sub-process automation opportunities and partner with HRIT team for implementation
Employee master
• Define data quality norms and ensure accuracy & completeness of employee masters (financial and non financial) in Oracle fusion
• Establish internal control mechanisms for periodic validation of employee data for accuracy and completeness
HR helpdesk
• Ensure resolution of employees and BHRs’ queries through internal case management tool (ihelp) within 0-2 days. Continuously provide training to team members to effectively resolve queries.
• Organize awareness sessions for employees and enhance usage of Employee self service options in HRMS
• Periodically review and refine templates & categories configured in iHelp
• Work with technology team for continuous training of PiRo (HR Chatbot) basis employees’ queries and upgrades
HR policy board governance
• Track and ensure that updated HR policies are hosted on HRMS for all entities in scope
• Monitor policies renewal schedule and notify BHRs/Total Rewards team review
Payroll and compliance support
• Validate and sign off employee master (financial and non financial) and variable inputs for monthly payroll
Governance and Stakeholder management
• Plan & conduct periodic governance meeting with all internal customers - Business HR teams
• Implement agreed action plan and keep stakeholders informed
HR audit
• Implement audit by design & maker-checker system for all critical processes and mechanism to measure the same
• Represent GEEC team for all internal HR process audits
• Ensure implementation of all audit finding within agreed timelines and share updated with HR leadership team
Employee Benefits Administration
• Prepare, audit and share endorsement data to all insurance policies as per the agreed schedule
• Organize employees’ awareness sessions and helpdesk to resolve their queries related to insurance & benefits
Exit management
• Work with all stakeholders and ensure timely settlement of full & final of exiting employees
• Ensure timely issuance of letters to exiting employees, resolve their queries, if any
• Administer post-exit interview process and share insights with respective BHRs through BI tool
• Ensure timely and proper response to ex-employee verifications by next employer
Strategic HR Support
• Data Analysis and Reporting: Gathering and analysing HR data to identify trends and areas for improvement.
• Workforce Planning: Assisting with workforce planning and talent acquisition strategies
• Training and Development: Supporting training programs and employee development initiatives.
Other Responsibilities
• Documentation Management: Ensuring HR documents and records are accurately maintained and compliant with legal and organizational requirements.
• Communication: Effectively communicating with employees and stakeholders on HR-related matters.
Team management and development
• Lead the team to deliver a high quality of service, keeping customer centricity and continuous improvement as topmost priority
• Develop team members and work with them to ensure they all achieve desired proficiency level as per the competency matrix
• Manage & monitor work allocation of team members
• Set clear and stretched goals for the team and track progress on weekly/monthly basis. Leverage BI tools to create and present dashboards for individuals’ and process performance
