Job description: SUMMARY
Reporting to the Director of Event Production, the Senior Event Manager works on projects for key, logistics-focused event accounts with both new and existing clients. This person is a self-starter with experience in the corporate event & meeting industry, able to work independently or as part of a larger team to accomplish tasks as assigned by the client. This person will be able to take a project from initial in-take and assessment through concept development, budgeting, and planning of all logistics.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Use creativity and critical listening to assess key client requests, helping internal teams assess the needs of an event to respond to proposals and support creation of scope of work for new projects.
• Become an expert in Haute templates, documents, project management software, and storage software, using each exactly as outlined in our process.
• Create detailed P&L documents to support event budgets; prepare a detailed client budget for approval.
• Drive the event project management timeline internally, coordinating across intra-agency teams to provide deliverables and exceed client expectations.
• Develop meetings that take place virtually or in-person (or hybrid); including the ability to understand Zoom's capabilities as an event platform and to utilize the meeting functions for assigned programs.
• Understand event communication needs and be able to translate that into back-end strategy for registration system and applicable event communication & customer service.
• Create all documentation & reporting needed to organize internal and external stakeholders for an event.
• Manage hotel/venue sourcing and contracts, F&B, travel logistics, transportation, activities, and rooming needs as needed for assigned projects both pre-event and on-site.
• Manage tradeshow strategy, contracting, activations, and associated needs for various key clients to support their annual strategies, in partnership with other team members.
• Maintain diligent time & task tracking for internal billing purposes.
• Request and execute all contracts for approved event materials, processing payments through appropriate channels.
• Work with internal teams to create detailed floor plans as needed for the event, including weather backups. Work with internal teams to create detailed build drawings or guides for use by on-site teams/crew as needed.
• Create high level production schedule, production schedule, and run of show as needed for each event. Create unique schedules for each stakeholder and review details individually.
• Hire & train on-site event management team and/or crew as needed. Manage on-site team (internal and/or external) for the event. Prepare staff letters for each on-site team member with details of the event expectations.
• Process paperwork for any contractors or vendors as needed.
• Prepare an emergency plan and a staff manual, reviewing with on-site team prior to the program.
• Manage on-site teams and operations, and act as main client contact.
• Assist with reconciliation & final billing for client.
• Create staffing plans for internal and external team members to support projects. Manage and mentor other team members assigned to you for various projects.
• Be the internal point person for the Cvent registration system, managing intra-agency needs and actioning support for all Cvent-related tasks for various projects.
MINIMUM QUALIFICATIONS
• Bachelor's Degree in Marketing, Events, PR, or equivalent experience
• 7 - 10 years working in corporate meeting or event planning, event production or similar
• Ability to work full time with an appropriate remote office setting for running virtual meetings or events
EDUCATION AND TRAINING
• Mastery of Excel
• Working knowledge of project management & communication systems such as Wrike, Box, and Slack
• Familiarity with Cvent Event Management system, Aventri and/ or Splash for creation and management of event registrations
• Personable and professional communication with clients.
• Desire to constantly learn the newest concepts, ideas, and trends within the events industry to help deliver exceptional experiences to our clients.
• Strong persuasive writing ability, used in supporting the creation of event proposals.
• Friendly and confident demeanor – you know the questions to ask to get all of the information needed to communicate to an internal team to create a truly memorable experience.
• Extremely detail oriented and well-organized, with the ability to prioritize multiple projects.
• Ability to work well under pressure, having a patient and calm approach when managing multiple projects.
• Ability to design an event from ideation to final billing, including outlining all necessary elements, pricing, providing budgetary guidance to client, and managing creation of all event communications, materials, design elements, on-site team and more.
• Work independently or manage a team to provide appropriate deliverables to clients.
PREFERRED EXPERIENCE
• Experience working with Fortune 500 Client
• Hold a CSEP, CMP or other related designation
• Cvent certification
• Previous tradeshow marketing experience
PHYSICAL REQUIREMENTS
• Ability to travel at least 50% of the time for site visits, meetings & events as needed, as well as to the Haute HQ.
• Ability to walk, stand, sit, kneel, speak, and hear with aid, see, read, reach with arms and hands, and use a computer, and telephone
• This position will require continuous viewing of a computer screen and sitting for long periods of time
• Must have reliable transportation for traveling to/from remote working locations
• Must be able to stand for up to 5 hours at a time
• Must be able to travel via car, bus and/or airplane
• Must have a valid passport and the ability to travel internationally when necessary for assigned projects.
