Job Summary
We are looking for a reliable and detail-oriented Office Clerk to support our painting company’s daily operations. This role is essential in helping our office stay organized and efficient—from managing schedules and communicating with customers to assisting with invoicing and job documentation. The ideal candidate has strong communication skills, solid data entry abilities, and a customer-first mindset. You'll be part of a dedicated team committed to delivering top-quality painting services and a professional client experience.
Reporting to the company owner, key responsibilities include:
Data entry, word processing, filing, scanning documents.
Handle incoming phone calls and emails with professionalism, answering questions or directing inquiries as needed.
Assist customers with service information, and following up on active jobs.
Organize and maintain digital and physical records, including estimates, contracts, and collected work orders.
Processing paint and vinyl orders.
Create and edit documents, spreadsheets, and reports using Microsoft Office (Word, Excel, Outlook).
Provide general office support, including supply tracking and occasional errands as needed.
Arrange timely ordering and delivery of paint, vinyl, and other materials, ensuring crews have what they need on-site.
Review supplier invoices for accuracy and resolve any discrepancies before processing payments.
Skills
2 years experience in an office setting. (Experience in a role within a painting, construction, or trade services company is a plus.)
Proficiency in Microsoft Office Suite (especially Word, Excel, and Outlook) and Adobe.
Familiarity with Sage50 is preferred; willingness to learn is essential.
Strong data entry skills and attention to detail.
Excellent written/verbal communication skills.
Ability to work independently with little direction, prioritize tasks, multitask, and stay organized in a busy environment.
Team-oriented attitude with a proactive approach to problem solving.
Hours: 07:30 a.m. to 03:30 p.m.
