You will be required to
1. Develop and regularly review office service standards, workflows, and operational priorities to ensure seamless support across all departments.
2. Manage the office environment, facilities, and shared resources to maintain efficient and well-daily operations.
3. Supervise and support the administrative and clerical staff, including recruitment, performance management, training, and task delegation.
4. Oversee company-wide accounts and records, including expense tracking, budget reconciliation, supplier invoices, and payment processing.
5. Coordinate the procurement and upkeep of office equipment and systems (IT hardware, printers, telecommunication tools), ensuring smooth business continuity.
6. Conduct regular inventory checks and manage the replenishment of office and general supplies to avoid operational disruptions.
7. Implement and monitor company-wide Occupational Health & Safety (OHS) standards, training sessions, and conduct periodic safety inspections.
8. Maintain company records and filing systems to ensure accurate documentation and efficient access to business-critical information.
9. Collaborate with departments to support project coordination, scheduling, and workflow alignment.
10. Manage client and supplier communications, schedule meetings and site visits, and uphold the company’s professional standards in all correspondence.
11. Collect and compile business and project data to assist management in performance monitoring, planning, and reporting.
12. Prepare and distribute internal updates and reports to inform senior leadership and stakeholders of operational and project-related developments.
Qualifications/Experience/Skills:
1. Minimum 5 years’ experience in an office management role.
2. Proficiency in MS Office Suite.
3. Tertiary or degree qualification in Business or a related field.
4. Proficiency in English and Mandarin is advantageous.
5. Strong organisational and multitasking abilities.
6. Excellent written and verbal communication skills.
7. Strong organisational and time management skills with the ability to multitask.
8. Flexibility and the ability to work collaboratively within a team.
