About The Role
Reporting to the National Facilities Manager, the Receptionist will be responsible for efficiently managing our front desk operations and be the first point of contact and the friendly face to our visitors and staff.
Key Responsibilities
Maintain a professional and welcoming reception foyer, while managing all front-desk operations
Own the arrival and on-site experience for all visitors and guests by promoting a welcoming and supportive environment throughout all reception and workplace area’s
Management and maintenance of all meeting rooms ensuring the environment, equipment, amenities and resources are prepared for daily use
Coordinate appointments, meetings and events as required
Manage visitor logs, issue access badges for all guests and monitor building entry procedures.
Management and organisation of all office mail, couriers and deliveries.
Daily management of a Customer Inbox including amendments and quoting in a professional, efficient and accurate manner.
Ensure all general office stationery and amenities stock is sufficient and ordered as required by conducting regularly audits of all amenities
Maintenance of the company intranet
Assist in the upkeep of the back of house spaces, to provide the best working environment and functionality for all employees and visitors.
Perform ad hoc tasks as required including catering, filing, data entry and other general administrative duties
Provide administrative support to National Facilities Manager and various departments as required
Assist with Company Events planning and organisation
About You
A minimum of 2 years’ Customer Service/Concierge Reception experience a similar role required within a professional services office environment
An excellent understanding of the importance of front of office presentation and guest experience
Polished personal presentation is required
Intermediate to Advanced in MS Office & MS Excel
Excellent verbal and written communication skills
Excellent eye for detail
You understand the importance of confidentiality, professionalism, and discretion in every interaction
Displays a professional, mature and friendly presentation with exceptional customer service skills.
Corporate exposure and proven track record supporting multiple teams
Strong time management and organisational skills to effectively monitor the reception area at all times
