The New Mexico Department of Public Safety (DPS), Administrative Services Division (ASD) is seeking a committed and driven individual to serve in the Finance Bureau as a Purchasing Agent-Advanced for Contract Support. ASD is dedicated to supporting the agency's vision of providing the highest quality of public safety services for the State of New Mexico and its mission to protect human life and property through the detection and prevention of criminal activity and enforcement of state laws.

ASD works in tandem with various Divisions to provide administrative, financial, accounting, procurement, and other functions to assist with their operations. Why does the job exist?
The primary purpose of this role is to support the DPS Contract and Leasing Unit by assisting in the preparation and management of contractual and lease agreements, invitations to bid, requests for proposals, sole source contracts, purchase orders, and other related agreements and procurements that are essential for departmental operations. This position also involves managing W9 vendor relations and serving as a mail room backup. Additionally, it assists with the preparation and tracking of purchase orders and payments for property and equipment leases.
This role supports daily procurement transactions within the Finance Bureau by auditing and processing internal purchase requisitions in accordance with the New Mexico State Procurement Code, the Department of Finance and Administration's Manual of Model Accounting Practices (MAPs), General Services Department guidelines, and department policies and procedures.
How does it get done?
The key responsibilities of this position include, but are not limited to:
Preparing contractual agreements, which involves developing Scopes of Work and all relevant supporting documentation required by oversight agencies;
Negotiating and routing contracts for review and approval;
Creating and managing contracts within SHARE, the state¿s Accounting System.
Additional responsibilities include creating and auditing Internal Purchase Requests for contracts and other procurement activities, as well as conducting month-end and fiscal year open and closeout activities.

Minimum Qualification
Bachelor's degree in Business or Accounting and Finance and one (1) year of experience in accounting, finance, purchasing, procurement, and/or warehouse clerking. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling five (5) years may substitute for the required education and experience.
Employment Requirements
Employment is subject to a pre-employment background investigation and fingerprinting in accordance with all terms and conditions of federal and state law, rules and regulations; and is conditional pending results. Continued employment is contingent upon remaining felony free, per Section 5.12.1.1 of the Criminal Justice Information Systems Security Policy.
In addition, the selected candidate must possess and maintain a valid driver's license and a current Defensive Driving Certificate from the State of New Mexico; or pass and receive the Defensive Driving Certificate.
Working Conditions
Work is performed in an office setting with exposure to Visual Video Display Terminal (VDT), extensive personal computer and phone usage, and extended periods of sitting. Must be able to lift 25 lbs.
