Executive Assistant Administrator (EAA)

Hours: 25 hours per week (Mon - Fri @ 5 hours per day and start time can be negotiated but must be structured routine daily)

Position Overview
The post holder will be responsible for the successful delivery of the day-to-day support to the Executive team while providing a professional administration and secretarial service to a discreet business area.
Primarily to provide direct secretarial and administration support within a dedicated small team in HMS Collingwood, Fareham, in the pursuit of successful and timely service delivery in accordance with current MOD regulations
Main Responsibilities
• Accurate diary management, liaising with internal and external agencies to ensure the needs of the business are met.
• Plan, co-ordinate and distribute information and temporary orders in a timely and accurate manner.
• Co-ordinate, plan and attend meetings, producing agendas and minutes as required.
• Act as a focal point for visitors, arranging entry into the establishment and escorting guests when required.
• Act a SharePoint Administrator and Information Manager for the associated team (training provided).
• Act as the central point of contact within the Executive Department to administer stationery requests.
• Provide administrative support to establishment events as required (Open Day, Ceremonial Divisions.)
• Act as Building Custodian for nominated areas, ensuring works are carried out efficiently, accurately and within relevant timelines.
• Assist with the creation and process of legal files and records on SharePoint, where permissible.
• Ensure all activities are carried out in full compliance with current Health and Safety Regulations and the General Data Protection Regulations.
• Undertake any additional tasks as determined by the Line Manager, in particular providing absence cover for the Captain's PA and Commanders Assistant.
What we are looking for
The successful candidate will be well-organised, precise, confident with credible communication skills readily able and willing to contribute at all levels. In addition, the individual will be versatile, intuitive, and professional with good judgement and absolute integrity. Pro-active and persuasive when required and responsive to changing needs of the business and demands of the customer, while remaining calm under pressure and self-motivated, the incumbent will be reliable and well presented, giving a positive image of MITIE company values. In addition, the following is needed.
• Administration experience with excellent organisational, time-management and motivational skills and a high degree of integrity and confidentiality.
• Proven track record of delivering quality administration support at management level and ability to work unsupervised using own initiative.
• Persuasive and credible verbal and written communicator with the ability to develop close working relationships.
• IT literate with a good working knowledge of MS Office applications.
• Good standard of education.
Additional Information
MOD security clearance and DBS Standard required. To meet national security vetting requirements, you will normally need to have been resident in the UK for at least 3 years to gain a Counter Terrorist Check, 5 years for Security Clearance and 10 years for Developed Vetting prior to the date of application. All Developed Vetted posts are required to be UK Nationals.
Proof of right to work in UK essential.
The Contract operates a 37.5 hour working week between the hours of 0730 and 1700 Mon to Fri only. The current working hours allow for an early finish on a Friday.
Required to wear approved company work wear.
