Engineers and Geoscientists British Columbia is currently searching for a Program Coordinator to join our team in Burnaby on a contract until June 2026.

The Program Coordinator is responsible for supporting several programs within the Programs & Continuing Education Department, including the Student Program, the Mentoring Program, Induction Ceremony, Annual Conference, and the events management program, which assists other departments in the organization with planning and executing events. The role coordinates presentations, organizes events, provides customer support to volunteers and program partners/participants, and provides event support and other administrative duties.

WHAT YOU WILL BE DOING

Coordinates and provides day-to-day support to the organization’s Student Program and Mentoring Program, as well as other programs within the PCE Department.
Organizes or supports events such as networking events; classroom presentations at post-secondary institutions across BC; training sessions for registrants, program participants, students, or volunteers; induction ceremonies; and additional event support as required.
Coordinates and delivers outreach presentations to engineering and geoscience classes at post-secondary institutions across British Columbia (virtual and in-person).
Serves as the initial contact and customer support for Student Program inquiries and managing membership processes, including invoicing and renewals for over 1,000 students. Helps develop new benefits to boost student registrations and student member satisfaction.
Supports our Student Representatives group by preparing meetings and agendas, taking minutes, and managing volunteers which includes recruitment efforts and facilitating training.
Supports the communication and marketing efforts for the Student Program; assists in creating and distributing information via email and social media; may contribute content for Engineers and Geoscientists BC publications and external university newsletters.
Prepares resources for mentors and mentees within the Mentoring Program and develops content and material for training sessions for program participants. Provides support to Mentoring Program participants, handles program inquiries, and communicates with internal partners to ensure all departments are aware of current initiatives.
Coordinates and supports Engineers and Geoscientists BC induction ceremonies. Assists with event administration, including online registration, event page setup, email communications, webpage maintenance, guest registration, and generating reports and sign-in sheets as needed.
Researches and recommends event venues, negotiates contracts, arranges catering and AV, identifies topics, and sources presenters for events. Responsibilities also include developing budgets, promoting sponsorships, managing presenters, coordinating staff and volunteers, and providing on-site support.
Travel requirements include day trips within the Lower Mainland for various events throughout the year, as well as an overnight trip to assist with the Engineers and Geoscientists BC’s annual conference and AGM. Additionally, there may be occasions that necessitate overnight travel for events held outside the Lower Mainland.
Other duties as assigned by direct leader and, as appropriate, members of the departmental leadership team.
WHO WE ARE LOOKING FOR

The successful candidate will meet the following requirements:

Bachelor's degree in marketing, communications, business, or a related field.
2-4 years of relevant previous experience in event planning and program coordination preferably in a nonprofit, professional, or regulatory setting.
2+ years of event planning experience for in-person events with over 100-200 attendees.
Ability to work occasional evenings for events; approximately 6-8 times per year.
Exceptional customer service skills.
Strong presentation and communication skills.
Experience supporting volunteers is an asset.
Familiarity with metric development and reporting.
Proficiency in core MS Office programs and working with databases.

This role offers a competitive compensation and benefits program including an annual salary of $61,000-$68,000 (pro-rated based on the length of contract). For full-time contract employees on this length of contract, we offer:

8% additional pay in lieu of benefits.

10 vacation days per annum (pro-rated based on the length of contract).

A flex day program offering additional paid days off (usually alternating Fridays) as a result of a compressed work week.

A hybrid work model with an assigned schedule confirming days worked remotely and days worked in-office. This role will be required to work in-office a minimum of 2 days per week during regular business operations.

The required tools, equipment, and technology for employees to work remotely are provided.

Free parking at the office. Transit reimbursement is offered to employees who take transit to work; we are centrally located near bus and Skytrain stops.
