Qualifications

Minimum 5 years’ experience as an admin assistant
Minimum 5 years’ experience with expert level calendar support for senior leadership
Minimum 5 years’ experience with Microsoft Office applications is required (Outlook, Word, Excel, PowerPoint, MS Teams…)
2+ years demonstrated administrative experience in a fast-paced environment
Including experience supporting remote teams required
Effective verbal and written communicator with a diverse group of key stakeholders
Excellent organizational, analytical, and anticipatory skills
Ability to make independent decisions and to juggle multiple projects at once with compressed lead time, in addition to dealing with ambiguity
Solid ability to manage multiple projects and excellent problem-solving skills
Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups
Proficiency in Microsoft Office applications is required (Outlook, Word, Excel, PowerPoint, MS Teams…)
Knowledge of internal Microsoft tools such as iCIMS, HeadTrax, Employee Central, MSS, MS Expense, Travel, MyOrder, etc
Ability to be flexible and work quickly and efficiently
Ability to react with appropriate urgency to situations and requests
Ability to lift up to 20 pounds
Previous experience working at Microsoft specifically as an admin
Highly skilled in calendar management for senior leaders and has juggled multiple calendars at one time

Responsibilities
This role will contribute to general administrative support
Must be able to come to our client office 5 Days a week 8 AM – 5:00 PM. (In office role)
Work in partnership with Executive Admin, Chief of Staff and Business Manager to make decisions regarding task prioritization aligned to the required outcomes needed to support the CVP and team members
Working closely with manager and other group administrative teams’ members regarding communications, meetings, and work priorities
Coordinate new hire onboarding and employee departures including the allocation and collection of Microsoft assets
Track assets, ensuring hardware lists are up to date and accurate
Procurement of goods and services including contractors, software, hardware, supplies, etc.?
Manage requests for resources through the end-to-end process ultimately resulting in the opening of a Purchase Order for the hiring of a supplier
This includes performing a variety of complex administrative functions relating to contracts (SOW) and purchase orders
Update Operational Policy & Procedural manual, as necessary
Help coordinate team meetings, events and offsites, including agenda management, meeting logistics, and material preparation.?Assisting with org-wide events run by the admin team
Space management includes planning office space, including office moves, in collaboration with Real estate and Facilities and partnering organizations
Ability to work effectively under shifting priorities and relatively ambiguous and complex situations
Providing backup support (calendar, travel, expenses) to other leaders
Helping maintains team aliases, to support efficient and appropriate internal communication
Planning and coordinating domestic and international travel plan end-to-end, including the proactive anticipation of any logistics and itineraries

Nextant is looking for a driven Administrative Assistant 2 to join our client team. This role will contribute to general administrative support.

Pay Rate:
